Exporting documents during tender preparation

There maybe times when the project manager is on site and has a slow connection , iSpec allows exporting of certain documents to excel format to continue working offline and  import back into iSpec when completed.
An internal user can export a document while the tender is still in preparation to work on headings  or when the bids are opened to compare vendor submissions.
 
There are two ways to export documents from iSpec.
 
Option 1 Export from the project overview page
 
Open the vendor so that the user is on the project overview page.
Expand the documents section and click the Export documents link.
 
 
 
 
The documents will be listed with an icon indicating that they are available for download in MS Word format only.
Users can also select a template that aligns with their needs or use the default template.
 
 
 
To export a single document, click the export icon next to the document. The file will be exported automatically.
 
To export multiple documents, select the checkbox next to each document, then click Batch Export Selected Documents. Choose whether to export them as a single MS Word file or as a ZIP file containing all documents.
 
To export all documents, click Batch Export All Documents.
 
A progress bar will appear during the export process, and once complete, your browser will automatically start the download.
 
 
 
Option 2 Export from within a document
 
If you wish to download the document you are working on you can do so directly from within the document by clicking the Export button this will export the current document to excel.
You can choose other documents in your tender by selecting from the quick document menu , providing they have been set as exportable in the document types page they can be exported. If not the button will show.
 
 
You can choose other documents in your tender by selecting  from the drop down list, when the document is opened you can then click Export to excel button.
Once the document are exported you can open the spreadsheet and work on the document, you can edit items that have been created in iSpec but you cannot create new items in the spreadsheet.
During preparation phase you can edit the following settings:
 
  • Edit paragraph text
  • Download attachments
  • Edit user settings
     
 
Once you have finished working on the document you can import the document back into iSpec, all current iSpec settings will be overwritten and replace with the settings in the document.

Note: if the document does not have the Export to excel link then the document type is not exportable for more information on exporting document types please the document types section.
