User groups permissions

After you have defined a user group, you can assign permissions to these groups, thereby defining which functions within the system they have access to.
 
All general system functions can now be set to allow or block access to that function. Group rights allow settings to be determined for all functions EXCEPT those applying to templates or documents.
Access rights to templates and documents and the functions relating to them are set in User roles. This allows the administrator to allocate document related permissions per document rather than globally.
 
By default, the root administrator has access to ALL functions within the system.
The group permissions control access to the general system functions not related to templates or documents.
 
The user type permissions are grouped into the following categories:
·     Show: This permission grants the user access to the function
·     Add: This permission grants the user permission to add new items where applicable
·     Edit: This permission grants the user permission to edit existing items where applicable
·     Delete: This permission grants the user permission to delete items where applicable.
The user group permissions are split into internal and external groups. Only the permissions applicable to the internal or external type may be configured for the specific type.
 
Dashboard
 
Manage document folders
Show
The show permission controls access to view document folders in the dashboard
Add
The add permission controls whether the user may add new folders
Edit
The edit permission will be automatically assigned if the user has the add permission
Delete
The delete permission controls whether a user may delete a folder.
 
Manage empty trash
Show
The show permission controls access to either show or hide the trash folder
Delete
The delete permission controls whether a user may delete a document or template in the trash folder
 
Documents
This group of permissions allows a user to access the menu item for templates and documents on the menu.
Documents
This group of permissions controls the user access to the documents menu items.
Show
This permission controls whether the user may view/access any of the projects in the dashboard.
Add
This permission controls whether the user may create a new document.
 
Templates
This group of permissions controls the user access to the templates folders in the dashboard.
Show
This permission controls whether the user may view/access any templates in the dashboard.
Add
This permission controls whether the user may add a new template in the dashboard.
 
Section library
This group of permissions controls access to the section library.
Section library
Show
This permission controls whether the user can access and view section library items. If this permission is disabled, the section library link in the dashboard is disabled.
Add
This option controls whether the user may add any new sections to the section library, this includes Groups, Section types, Sections and Section details. The following items are controlled by this permission. This permission also allows the user to edit sections in templates.
Edit
This permission controls whether the user may change information on Groups, Section types, paragraphs and paragraph details.
This permission also allows the user to edit sections in templates.
Delete
This permission controls whether the user may delete any item from the section library. This applies to Groups, Section types, paragraphs and paragraph details.
 
User administration
These group of permission controls access to the various user management functions
 
Internal user management
Show
The show permission controls access to the menu item to manage internal users. When any one of the internal or external user management show permissions are checked, the menu item to manage users will be available
Add
The add permission controls whether the user may add new users or units
Edit
The edit permission will control whether the user may edit the details of a unit or user
Delete
The delete permission controls whether a user may delete a unit or user.
 
External user management
The external user management permissions provide access to manage the External users. The permissions for Add, Edit and delete are the same as for internal users
When the External user permissions is set the External user manager will be visible.
 
Manage default roles
Show
The add permission is always selected to allow users to view default roles.
Edit
The edit permission controls whether the user can change the default roles in the user manager.
 
Manage subscriptions
Show
The show permissions will control whether the user can view the manage subscription administration menu link.
Edit
The edit permissions will control whether the user can  manage and add/extend user licenses.
 
System configuration permissions
This group of permissions controls the permissions for the general administration functions as well as the system variables menu items and to send notifications and view user online status
 
 
Manage languages
Show. Add, Edit Delete languages.
Manage styles
Show, Add, Edit, Delete styles.
Manage font
Show, Add, Edit, Delete fonts.
Manage document types
Show, Add, Edit, Delete document types.
Manage approval functions
Show, Add, Edit, Delete approval functions.
Manage approval routing
Show, Add, Edit, Delete approval routings.
Manage frequencies
Show, Add, Edit, Delete frequencies.
Manage tags
Show, Add, Edit, Delete tags.
Edit mail templates
Edit default system mail templates.
Manage user groups and permissions
Show, Add, Edit, Delete user groups and permissions.
Manage document roles and permissions
Show, Add, Edit, Delete user document roles.
View online user status
Show or hide online status of users.
Manage headers/footers/cover pages
Show, Add, Edit headers, footers or cover pages.
Delete signed documents
Enables the user group to delete signed documents in the dashboard.
Manage system settings
