Dashboard

The dashboard is the hub of the iSpecDMS system which lists ALL the templates and documents each user can access.
The dashboard is also the default screen to create new templates and documents.
 
When the user logs into iSpecDMS the dashboard screen will show.
The dashboard is split into 3 panels, Documents tree, Document list and Document overview.
Both the documents and overview panels can be closed by clicking the icon to provide more screen space for the documents list.
 
Documents panel
The documents panel is a tree structure that stores ALL the user templates and documents.
The tree is split in the following default folders:
 
  • Recent document - List the recent templates and documents the user last accessed. The list size is set in the system settings.
  • Favorites - Lists templates or documents the user has added as a favourite
  • Items to action - Any template or document that has a poke will be listed in this folder.
  • All documents - Lists All the documents the user has access to. Use the 3 dot menu to create document folders.
  • New document - Create a new document.
  • All templates - Lists All the templates the user has access to. Use the 3 dot menu to create template folders
  • New templates - Create a new template.
  • Section library - Allows access to the section library. To access the Section library the user must have permission otherwise it will be hidden.
  • Trash - Sandbox for ALL templates and documents that have been deleted before they are completely deleted and unrecoverable.
    Templates and documents in this folder can be recovered.
  • Search - Universal search for templates and documents.
 
 
Document list
The document lists shows ALL of the templates and documents that the user has access to.
By default templates are stored in the All templates folder and documents are stored in the All documents folder.
You can create custom folders to organize and store your documents in.
You can copy or delete single or multiple templates or documents from the list as well as see an overview of each document.
 
Startup Essentials
When the user logs in to iSpecDMS the Startup essentials section will show in the overview section
These tasks will guide you through creating your first template and setting up other useful basic functions.
 
It is recommended that first time users watch the videos before starting the task.
When you have completed each task a check mark will show next to the completed task.
When ALL the check marks are shown the basic tasks are complete.
 
 
Overview panel
The overview panel gives an overview of each document in the list. Highlight the document and the overview panel will populate.
The overview panel shows the following information:
 
 
 
  • Type of document - Type of document is a template or a document.
  • Location - What folder the document resides in.
  • Owner - The owner of the document.
  • Modified - Last date/time the document was modified.
  • Created - The document creation date.
  • Tags - Any tags that have been added.
  • Description - Description of the template or document.
  • Activities - Most recent or ALL activities
  • Internal user access - List of internal users with access to the document, also allows you to add/create user.
  • External user access - List of external users with access to the document, also allows you to add/create user (Documents Only)
  • Groups with access to template - Lists group with access to the template, also allows you to add/create new groups to access the template. (Templates only)
