Document types

 
You can add your own document types to iSpecDMS for purposes of controlling user access to different types of information. You control who has access to any particular document type by allowing or denying users permission to that document type, this is done through the user role management screen for more information on user roles please see the Document access rights page.
 
Document types
To create a new Document type, click the Add button  and enter a document type name.
After the Document type has been created set the permissions in the Document access rights page.
 
Custom document parameters
You have the ability to add custom parameters to your document types and set them in the document properties and use it as variables, allowing for more flexibility and customization in your documents.
To add a custom document parameters, click the add button.
 
Enter the name, select the type, select if it is mandatory or not, add a description, and items for single and multiple select and then click the save button.
 
There are several types of custom parameters that can be added:
 
Number: This parameter allows you to input numerical values, such as quantities, measurements, or any other numerical data relevant to your document.
Date: With this parameter, you can select and enter specific dates or date ranges to associate with your document.
Text: The text parameter enables you to add textual information, such as descriptions, notes, or any other relevant text.
Yes/No: This parameter allows you to indicate a binary choice, where you can select either "Yes" or "No" as the value.
Single Select: With this parameter, you can create a predefined list of options from which you can choose a single value that best describes your document.
Multiple Select: Similar to the single select parameter, this parameter allows you to create a list of options, but you can select multiple values that apply to your document.
Attachment: This parameter enables you to attach files or documents directly to your document type, providing a centralized location for all related files.
 
Once you have added custom parameters to your document type it will be listed all the parameters in the grid.
 
The next step is to enter values for these parameters in the document properties. By assigning values to the custom parameters, you can utilize them as system variables.
 
Workflow
After Approval routings have been created they can then be linked  to a Document type.
To link a new Approval routing click the  button.
 
 
Select an Approval routing from the list.
 
 
Repeat the process until ALL Approval routings are added.
The new Tools icons will allow you to unlink any Approval routings that are not in use.
 
Now the Approval routings have been added any new document that is created using that Document type will now have the Approval routing process added.
