Library manager

 
The Library manager holds all of the items created in the Templates. When you create a new template or add new documents they will all be added to the Library manager.
To go to the Library manager navigate from the main menu  Administration > Library manager.
Selecting "My Items" will show only items assigned to you. To edit items you should select "All" if you would like to add or delete items from the library detail approvals will only list items that require low level approval (a specific language version needs approval). General approvals will only list items requiring high level approval - namely the item owner (all versions).
 
The library is arranged in four levels:
 Library groups
 Library types
 The Library items (clauses/paragraphs) themselves.
 Each paragraph can have various language versions.
 
 First of all we need to define groups of library items for use in the system. Library groups determine the main categories of library items you wish to store in the system.
This all depends on the types of project templates you are managing within iTech.
 
Categorizing paragraphs into groups firstly and then types, helps us in a number of ways. It makes it quicker to find the specific paragraph we are looking for if we can shorten the list. Secondly we can associate layouts with each paragraph in order to display it in a specific format with logos, fonts, etc. pre-defined. This way the person editing the content never has to worry about getting it right in terms of the company colors fonts etc., as this is defined in the layout template or style sheet.
 
Clicking on the paragraph name will allow you to set the review interval the specialist user, status of the template, whether the clause is editable during preperation and whihch templates are using the clause.
 
 
The library manager will list all clauses from ALL iNspect templates.
 
 
Select the paragraph name this will list the paragraph name, review interval, specialist user,  template status and whether the template is Editable during preperation.
All templates that are using the clause will be listed and the template status.
 
 
Clicking the language version will shows the specialist user, status of the template and the clause content.
You can update any information directly from the Library manager or from within the template.
If any item is edited ALL templates that are using the clause will be taken offline until the clauses have been approved.
 
The library will also show a complete history of any clause changes and allow us to roll back to any version.
 
Click the History button, all clause versions will be listed and show the Specialist user, Status, Updated, Updated by user and Details.
 
 
 
Click on any of history records to view the content. You can compare the record to the current clause or you can roll back to any version.
